The Quotations module lets you build and send price quotes directly from a customer conversation. Quotes are numbered, tracked, and can be converted into sales orders once accepted.

Quote lifecycle

Draft → Sent → Accepted / Rejected → Converted (to Sales Order)
StatusMeaning
DraftBeing built — not yet shared with the customer
SentSent to the customer via WhatsApp
AcceptedCustomer confirmed they want to proceed
RejectedCustomer declined
ConvertedAccepted quote converted to a Sales Order

Quote numbering

Every quotation gets a unique number in the format Q-YYYY-NNNN, for example Q-2026-0042. Numbers are sequential within your workspace and reset each calendar year.

Line items

A quote contains one or more line items. Each line item has:
  • Product name (from your product catalog, or entered manually)
  • Quantity
  • Unit price
  • Tax rate (%)
  • Line total (calculated automatically)
The quote footer shows subtotal, total tax, and grand total.

GST and invoicing

If the contact has a GSTIN and billing address on their profile, these are included in the quote PDF. The state code is used to determine IGST vs. CGST/SGST split.

Sales orders

When a customer accepts a quote, convert it to a Sales Order with one click. The sales order inherits all line items and contact details from the quote. Sales order statuses: pending → confirmed → dispatched → delivered → cancelled

Enable the module

If you don’t see Quotations in the sidebar, an Admin needs to enable it at Settings → Modules.
